Detailed Description



myAVIS™ Field Sales is a software application that has been developed as a tool to support the commercial, marketing and servicing activities of distribution and manufacturing companies. myAVIS™ Field Sales is a consistent system used by the commercial teams where some of the team work in a central office using standard PCs. More users are the mobile sales reps who use their mobile PocketPCs. It has followed from experience that a big part of customer processes is identical or very similar to each other. Even the basic version of myAVIS™ Field Sales provides a wide range of functions. This means that once the complete system is introduced in the company, no re-programming is needed in an overwhelming majority of cases.  myAVIS™ can be used to manage the complete logistics of mobile processes, independently of any other processes in the company. It is possible to integrate the system, through data interface, with any other existing application, The solution is supplied with a set of pre-defined data structures and configurations enabling the small enterprises to introduce, manage, and evaluate their sales activities in the field easily and quickly. Considering the scope and reasonable price, myAVIS™ Field Sales is an ideal solution for small and medium-sized enterprises. Thanks to myAVIS™ Field Sales it is possible to use the mobile devices in all applications where expensive customised solutions have been used so far.

Central office



The employees in the central office use the server part of myAVIS™ to create tasks for sales reps in the field. They prepare the distribution of up-to-date information (pricelists or information about marketing activities) and process the data that have been transferred automatically to the headquarters from mobile computers (orders, new contacts, information about visits). In the central database it is possible to create various views of the store data and to create statements to be used by managers in the decision-making process as a source. This solution moves considerably the decision-making processes from those based on experience to the processes based on exact information. The managers process real information in a real time. The processes in progress are easy to monitor and, using myAvis™ Sales Force, it is possible to react in time and react reasonably to changes in market requirements.

Field employees – sales reps



Sales reps in the field use small-size mobile PDAs where the client part of the solution is installed. Mobile phones are used to establish simply connections with the server part. The users however do not need the server connection for the most of time. This solution is much comfortable than the work with a system connected to the headquarters all the time. The mobile part of myAVIS™ Sales Force contains all data needed for the work in the field. The data sharing between the server and client parts takes place automatically depending on system settings during a short connections at least once a day.

Functionality overview

Goods catalogue/ inventory
The sales rep has all information needed for his or her customers and territory available in the PDA including goods, client data, prices, inventory available, advance ordering, etc. The rep works independently during the day and at intervals uploads data automatically to the database. The whole process is managed automatically and data transfer is conducted in secure mode.

Contacts
This module enables quick and easy access to all customer contact details. Defined in advance according to your requirements, data may be modified and updated directly in the field and all changes are replicated across the system at the very next synchronization.

Orders
The mobile user in the field may create new orders according to the exact procedure and format you require. In place of paper forms, the rep uses a PDA for everything.  With replication, orders are instantly transmitted to the head office or third-party partners if necessary for immediate processing. Response and delivery times improve, and customer satisfaction rises as data on the status of all orders is easily available via PDA for the rep to review with the customer.

Van sales
This module encompasses everything necessary for the sale of goods directly from the rep’s vehicle, including goods catalogue, available inventory, cash desk and printing of receipts or invoices.

Customer visits
myAVIS™ enables customers to establish in advance the series of steps and tasks that each rep must complete during each customer visit. When a visit commences, myAVIS™ simply and efficiently guides reps through each stage of the process. 

Cost control
myAVIS™ provides managers all cost data connected with the mobile enterprise. The application contains functionality allowing reps to record kilometers travelled and fuel consumed, for example. Reports are generated regularly and sent to the relevant managers automatically.

Task and route planning
Journeys may be planned by sales reps themselves in advance or may be set for them by head office, depending on your specific procedures. Head office can at any time generate tasks for sales reps individually or in groups and send them to PDAs in the field automatically.

Distribution check
Field Sales reps who regularly check shelf distribution for their own or competing products will use myAVIS™ to record all this data quickly and efficiently.

Daily work reports
If required the field sales rep may create a short report on his or her activities each day and transfer it automatically to head office at the same time all other data is replicated. 

Goal setting
myAVIS™ enables both managers and reps to check the progress of their performance against periodic targets.

Marketing promotions
myAVIS™ supports all marketing activities including planning, materials, duration, conditions, generation of feedback from the field and follow up evaluation.

Consignment sales
Booking of consignment sales is easily enabled by myAVIS™.

Territory management
Managers in the head office may use myAVIS™ to temporarily reassign reps to a new territory, modify territory definitions and create new territories.
